N4 Solutions, LLC is seeking a Program Manager to support our customer the National Institute of Neurological Disorders and Stroke overseeing logistics management for virtual, hybrid, and in-person events of varying scales. The Program Manager is accountable for the end-to-end execution of large, intricate, and high-profile events, from initial planning through final implementation, ensuring that all deliverables are completed punctually and surpass customer expectations.

Roles & Responsibilities:
  • Lead and mentor team members on all aspects of event planning and execution, ensuring adherence to project requirements and industry best practices.
  • Oversee and supervise meeting and conference support staff, ensuring high performance and adherence to project goals.
  • Cultivate and sustain strong relationships with clients, vendors, and industry peers, leveraging industry trends and technologies to enhance event quality.
  • Direct and manage comprehensive event planning initiatives, from concept to completion, ensuring alignment with client objectives.
  • Oversee project management tasks including tracking, monitoring, and reconciling event expenses against budgets, while alerting the Project Manager to potential risks or cost overruns.
  • Develop and implement project schedules and timelines, proactively addressing and mitigating potential issues or risks.
  • Host and lead kickoff and ongoing planning meetings with clients to define event requirements, strategize, offer guidance, and communicate project timelines for successful event execution.
  • Manage and negotiate contracts with venues and vendors, ensuring due diligence, adherence to contract terms, budget conformity, and satisfactory service delivery.
  • Oversee travel logistics and reimbursement processes, ensuring compliance with federal travel regulations and organizational policies.
  • Supervise the creation and management of meeting websites, registration platforms, virtual environments, and event materials, ensuring high standards of quality control.
  • Manage communications with event attendees, ensuring a seamless and engaging attendee experience.
  • Review and finalize the Run of Show for live-event support, ensuring all aspects of the event are executed flawlessly.
  • Handle project management and personnel management tasks to ensure effective team performance and successful event delivery.
  • Interface with government entities as required, ensuring compliance with relevant regulations and protocols.
  • Perform additional job duties as assigned.
Minimum Qualifications:
  • Bachelor’s degree from an accredited university paired with 10 years of experience coordinating federal government meeting and/or conferences
  • Two years of experience with online registration systems and virtual meeting platforms (i.e. Cvent, Gather, Zoom, MachForm, Jotform, Eventbrite)
  • Planning experience to include project management skills, knowledge of Federal Government Regulations pertaining to contracts, Federal Travel Regulations, and Accessibility Requirements
  • Strong project management and personnel management skills, with experience leading teams and managing complex projects.
  • Exceptional organizational skills with the ability to prioritize and manage multiple tasks simultaneously, under minimal supervision.
  • Meticulous attention to detail and strong critical thinking and problem-solving abilities.
  • Excellent verbal and written communication skills, capable of interacting effectively with key stakeholders at all levels.
  • Proficiency with Microsoft Outlook, Word, Excel, Teams, PowerPoint, SharePoint, and Adobe.
  • Flexibility to work occasional weekends and early mornings/late evenings to meet deadlines and provide onsite support.
  • CMP/CGMP certification preferred 
  • U.S. citizenship
